Job Context
Job Responsibilities
* Position Summary:

* The Visa and Work Permit Process Coordinator is responsible for managing, coordinating, and ensuring compliance with all legal, administrative, and logistical requirements for foreign employees. This role handles the complete visa and work permit process, alongside end-to-end support services covering accommodation, utilities, travel, medical, and other welfare needs for foreign employees. The incumbent will also liaise with internal departments including Finance and Audit to ensure seamless operations.

* Key Responsibilities:

* Advertisement & Recruitment Process:

* Coordinate and publish paper advertisements as required for hiring foreign employees in compliance with local regulations.

* Visa Recommendation Documentation: Prepare and submit necessary documents to Bangladesh Investment Development Authority (BIDA) for E-Visa recommendation.

* Work Permit Management:

* Apply for new work permits, renewals, extensions, amendments, and cancellations through BIDA.

* Bank Account Facilitation:

* Assist foreign employees in opening and managing bank accounts as per local banking regulations.

* Security Clearance Coordination:

* Arrange for necessary Security Clearance Letters from: Special Branch of Police (SB), National Security Intelligence (NSI), Ministry of Home Affairs.

* Visa Extensions and Exit Visas:

* Manage visa extension applications and obtain exit visas from the Passport Office as required.

* Administrative & Logistical Support:

* Manage the payment of monthly house rent for foreign employees and maintain accurate records.

* Coordinate with Finance and Audit departments to ensure timely processing of all related payments, compliance checks, and documentation.

* Arrange for the payment and settlement of utility bills including:

* Electricity

* Gas

* Water

* Internet services

* Dish/TV subscriptions

* Ensure timely settlement of medical bills and other service bills for foreign employees.

* Accommodation Management:

* Handle House Rent Agreements for foreign employees.

* Manage renewals of accommodation agreements as per contract timelines.

* Search for, select, and finalize rented houses or apartments for foreign employees as needed.

* Ensure houses meet living standards and company requirements.

* Repair & Maintenance Coordination:

* Oversee and arrange all types of repair and maintenance services for foreign employees’ residences and provided facilities, including electrical, plumbing, furniture, and appliance services.

* Vehicle Arrangement:

* Organize and manage transportation and vehicle arrangements for foreign employees for both official and personal needs.

* Travel Arrangements:

* Ensure air ticket booking, itinerary planning, and travel coordination for foreign employees for joining, business trips, annual leave, or final departure.

* Work Permit Cancellations & Separation Formalities:

* Handle cancellation of work permits, exit formalities, and ensure compliance with government regulations during employee separation.

* Overall Foreign Employee Management:

* Act as the single point of contact for all matters related to foreign employees, ensuring compliance, smooth operations, welfare, and satisfaction.
